Job Summary

Swissport Fueling of Nevada, located at the Las Vegas McCarran International Airport has an exciting administrative opportunity available for immediate employment. The part-time Intoplane Administrative Assistant is responsible for processing Purchase Orders, Work Orders, and Invoices related to Vehicle Maintenance. Also responsible for entering and reconciling daily intoplane fueling transactions and Ground Service Equipment fueling transactions. Must follow A4A Spec 123 accounting standards for fuels accounting.

Job Responsibilities

Enter accurate fuel accounting transactions in Varec.
Enter Work Orders, Purchase Orders, and Invoices in Maximo to maintain proper parts inventory tracking.
Assist with tracking of required maintenance tasks (Filter changes, oil changes, etc.).
Preform required inventory counts (Yearly, quarterly, etc.).
Set up/maintain accounting files, records and tracking spreadsheets as needed.
Assist with End of Month Closeout.
Drafting letters and official information releases.
Arranging and attending meetings and taking and distributing minutes.
Preform other duties as requested by department manager.

Qualifications And Competencies

High School diploma or equivalent is required.
At least two (2) years of Administrative and/or Accounting experience preferred.
Excellent proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
Above average math skills.
Ability to multitask.
Self-driven, highly motivated, and organized.
Have excellent verbal and written communication skills, including professional e-mail & telephone etiquette.
Ability to successfully completed all pre-employment processes and background checks as outlined by Department of Aviation and Swissport.
Ability to work on the weekend (both Saturday and Sunday) as necessary.
Ability to work for Month End closeouts (usually the 1st weekday of every month).
